How WhatsCRM handles customer and WhatsApp data.

This Privacy Policy explains how WhatsCRM collects, uses, stores, and protects information when businesses use our AI WhatsApp sales CRM. It is written for our clients, their sales users, and customers who contact those businesses through WhatsApp.

1. Who we are

WhatsCRM provides a sales CRM for businesses that use WhatsApp to receive customer enquiries, manage conversations, assign leads, create reminders, and review AI-assisted sales insights.

The business that connects its WhatsApp account to WhatsCRM controls the customer conversations and contact records stored in the CRM. WhatsCRM processes that information to provide the service requested by that business.

2. Information we collect

Depending on how the CRM is used, we may process the following information:

  • WhatsApp contact names, phone numbers, and WhatsApp IDs.
  • Inbound and outbound WhatsApp message content after the API connection is active.
  • Message timestamps, delivery status, read status, and related webhook events.
  • CRM contact fields such as lead status, source, tags, notes, assigned user, and reminders.
  • Sales user account details such as name, email, role, access permissions, and login activity.
  • WhatsApp Business Platform setup details such as phone number ID, WABA ID, webhook status, and connection method.
  • Technical logs and raw webhook payloads used for debugging, security, and support.

WhatsCRM stores only messages received or sent after the WhatsApp Cloud API connection is configured. It does not read old WhatsApp app history.

3. How we use information

We use information to provide and improve the CRM service, including to:

  • Display WhatsApp conversations in the CRM inbox.
  • Allow sales users to reply to customers from the dashboard.
  • Assign new enquiries to the correct sales user or team queue.
  • Show contact profiles, unread counts, internal notes, tags, lead status, and follow-up reminders.
  • Generate AI summaries, buyer-stage insights, suggested replies, and follow-up recommendations.
  • Provide admin settings, user access control, phone number masking, and contact export.
  • Monitor system reliability, investigate errors, and prevent misuse.

4. WhatsApp Platform Data

When a client connects WhatsApp Business Platform, we use Platform Data only to provide the CRM service selected by that client. This includes showing conversations, contact information, message statuses, assignment, reminders, AI summaries, and reply suggestions for the client's own team.

We do not sell WhatsApp Platform Data. We do not use it for unrelated advertising. We do not share one client's WhatsApp conversations or customer data with another client.

5. AI processing

WhatsCRM uses AI to support sales users, not to replace manual customer communication. AI features may summarize conversations, detect buyer stage, identify possible objections, suggest replies, and recommend follow-up actions.

Clients should review AI suggestions before using them with customers. The editable CRM tag list is controlled manually by the client team.

6. When information is shared

We share information only when needed to provide the service or meet legal obligations, such as:

  • With Meta/WhatsApp when sending and receiving WhatsApp Business Platform messages.
  • With infrastructure providers used to host, secure, and operate the CRM.
  • With AI service providers when AI analysis is enabled by the client.
  • With authorized users inside the client's own CRM workspace based on their permissions.
  • When required by law, regulation, legal process, or to protect rights and security.

7. Data retention and deletion

Client data is kept for as long as needed to provide the CRM service, support business records, resolve disputes, maintain security, or comply with legal requirements.

A client may request export or deletion of its CRM data by contacting us. Some backup, audit, or legal records may be retained for a limited period where required.

8. Security controls

We use practical security controls to protect CRM data, including server-side login, two-factor authentication, user permissions, phone number masking, webhook signature validation, access-token protection, and restricted admin controls.

No online service can guarantee absolute security, but we work to reduce risk and limit access to authorized users.

9. Your choices and rights

Clients can manage sales users, permissions, WhatsApp numbers, assignment rules, contact records, reminders, and exports from the CRM where available.

If you are a customer who contacted a business using WhatsApp and want to access, correct, or delete your information, please contact that business first because it controls the customer relationship and conversation record.

10. Policy updates

We may update this Privacy Policy from time to time. The latest version will be published on this page with the effective date shown above.
